How to Obtain VAT Receipts from Trainline
When you're running a business, whether you're a sole trader catching trains across the country or a finance manager handling expenses for a growing team, it's important to stay on top of the little details — like ensuring every expense is backed by a proper VAT receipt. Missing one can mean losing out on potential VAT reclaims, which adds up quickly and impacts your bottom line.
Business travel is essential, but it brings its fair share of admin. When it comes to train journeys booked through Trainline, one of the most common questions we get at AGILE Accountants is:
"Can I get a VAT receipt for this?"
The answer is, sometimes! And knowing when, where and how to find that all-important receipt can save you time, money and stress when it’s time to do your accounts.
In this guide, we’ll walk you through how Trainline receipts work, what qualifies for VAT recovery, and how to stay on top of your business travel expenses with confidence.
Does Trainline Charge VAT on Tickets? It Depends
Trainline is a platform, not a transport operator. In other words:
They sell tickets on behalf of train and coach providers.
They do not charge VAT on the ticket itself.
However, they do charge VAT on booking fees.
Therefore, if you're looking to reclaim VAT, the only part of your Trainline transaction that qualifies is the booking fee and that’s the portion you’ll find reflected on your VAT receipt or email confirmation.
When it comes to UK train journeys, standard fares are VAT-exempt. As a result, Trainline doesn't issue a VAT invoice for the ticket. However, they do apply VAT (at the correct local rate) to the booking fee and that’s your reclaim opportunity.
Why Am I Paying VAT at Different Rates?
If you’ve noticed that the VAT rate on your booking fee changes depending on where you’re travelling, you’re not imagining things!
Here’s why:
- The VAT charged on Trainline’s booking fee varies depending on the country you're travelling in.
- In the UK, VAT on rail and coach travel is 0%.
- In the EU, different member states apply different VAT rates to digital services like booking platforms.
So when Trainline adds a VAT charge to your booking fee, it reflects the country-specific VAT law in force at the time of your booking.
What Counts as a VAT Receipt?
To make a valid VAT claim, you’ll need a VAT invoice or receipt that includes all of the following:
Firstly, the supplier’s name and VAT number
Secondly, a clear breakdown of the VAT charged
Thirdly, a description of the service provided
And finally, the date of the transaction
Fortunately, if you booked through Trainline, this information is easily accessible. Specifically, you can find your VAT receipt in the following places:
Within your email confirmation
The Trainline mobile app
The My Bookings section on their website
Importantly, this receipt will display the VAT applied to the booking fee only. As a result, that’s the only portion your business can potentially reclaim. Therefore, it’s crucial to retain this document as part of your expense records.
How to Get Your Trainline VAT Receipt
Whether you're using the app or website, getting a receipt is quick and easy. Just make sure you booked using a Trainline account (not as a guest), otherwise, your receipts won’t be saved to your profile.
Using the Trainline Website
- Log in to your Trainline account.
- Go to My Bookings.
- Find your trip under the Upcoming or Past tab.
- Click Order details and history.
- Select Expense Receipt- it’ll be formatted and ready to print.
Using the Trainline App
- Open the app and tap on My Tickets.
- Find the relevant journey and tap Manage My Booking.
- Choose Expense Receipt and it’s ready to download instantly.
What If I Need a VAT Invoice for the Ticket Cost?
This depends entirely on the operator and where you're travelling. Here’s a quick rundown of what’s possible:
UK Train Operators
- VAT is not charged on standard UK train fares.
- Trainline cannot issue a VAT invoice for tickets.
- You can only reclaim VAT on the booking fee.
Travelling in the EU? Here’s What to Know:
Operator | VAT Invoice Info |
SNCF (France) | No VAT invoice. VAT on transport isn’t deductible. |
Deutsche Bahn / ÖBB | No formal invoice, but VAT shown on ticket. |
Trenitalia | VAT invoices available from midnight on purchase day via Trenitalia's website. |
Italo | VAT invoices issued from midnight after purchase. Use your ticket reference on Italo's site. |
Renfe (Spain) | Invoice request form available on Renfe’s website. |
Ouigo Spain | Request invoice in ‘My Bookings’ (Spanish only). |
What Should I Do with These Receipts?
After downloading your Trainline VAT receipt, here’s what we recommend:
File it with your monthly expenses
Upload it to your accounting software (e.g. Xero, QuickBooks)
Clearly mark it as a booking fee VAT reclaim only
For EU journeys, store any invoices issued directly by the transport provider
This practice helps maintain audit-ready records, especially if you prepare monthly management accounts or submit regular VAT returns.
